General Description:  Responsible for telephone coverage, as well as the reception area within the Administration building. Duties will also include daily administrative tasks for the human resources department and also tasks associated with annual fundraising events. The highly desirable candidate possesses a high degree of efficiency and organizational skills, as well as has an eagerness to learn and is unafraid to take on challenging assignments.

Educational and work experience requirements:

  • High school diploma or equivalent with additional course work in secretarial related field of study preferred.
  • Minimum of one (1) year receptionist experience.
  • PC/Computer literacy with working knowledge of Microsoft Office.
  • Sufficient ability, experience, and education to perform the assigned duties with or without accommodation..
  • Belief in Covenant House Mission Statement and desire to fulfill the mission.
  • Awareness of and sensitivity to the needs of homeless and at-risk youth that Covenant House Michigan serves.

 Essential skills and abilities:

  • Ability to establish effective working relationships with co-workers/supervisors/agencies and the public.
  • Ability to effectively communicate verbally/written with internal and external individuals and/or businesses.
  • Ability to handle multiple tasks and projects as well as ability to lift and move objects weighing 5-25 pounds.
  • Ability to demonstrate a positive, optimistic, accepting attitude toward staff, clients and the general public.
  • Ability to work with computers, fax machines, copy machines and other forms of technology in the workplace.
  • Ability to sit at receptionist desk for extended periods of time over an 8-hour work day.

Primary responsibilities:

  • Uphold the agency’s Mission, standards of conduct and policies and procedures at all times.
  • Attend and participate in all scheduled or mandatory meetings, training and supervision sessions as requested.
  • Responsible for answering main agency telephone system and direct calls to appropriate department or employee.
  • Assist callers with questions regarding agency services provided and how to obtain help if applicable.
  • Meet and greet visitors as they enter the reception area. Direct visitor(s) to appropriate employee.
  • Responsible for assuring that visitors sign-in/out of visitor log and receive/return visitor badge.
  • Receives/distributes mail daily; also responsible for providing in-person/telephone reception services for agency.
  • Responsible for maintaining/ordering offices supplies for staff as needed (stamps, letterhead, envelopes, etc.)
  • Maintain kitchen area including ordering supplies and monitoring area for cleanliness as well as making coffee.
  • Ensure that copy and fax machines have ample supply of paper in them.
  • Maintains confidentiality at all times, including the handling of residents and/or employee information, agency records, policies and procedures.
  • Perform all other tasks as requested by the Human Resources Director and CHM administration.
