Additional Details

General Description:  Reporting directly to the COO – Covenant House MI -Grand Rapids, the Administrative Assistant provides executive support in a one-on-one working relationship. The Administrative Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the COO- Grand Rapids. The Administrative Assistant also serves as a liaison to management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

The Administrative Assistant must be creative and enjoy working within a collaborative environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Requirements

Educational and work experience requirements:

  •  Associate degree from a Community College or University; or three or more year’s related experience and/or training; or equivalent combination of education and experience.
  • Three or more years of executive office procedures and support experience, preferably in non- profit setting.
  • Experience and interest in internal and external communications, partnership development, and fundraising
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
  • Strong background in an administrative assistant’s capacity.
  • Excellent organizational, communication, problem solving and interpersonal skills including outstanding phone etiquette.
  • Ability to process information, prioritize duties and follow through with details.
  • Superior writing skills including the ability to create correspondence as well as edit existing templates.
  • Ability to take and transcribe meeting notes.
  • Experience with small events management and private receptions, including the ability to interact professionally with volunteers, staff, youth residents and supporters.
  • Knowledge of postal requirements, bulk mail delivery, and express delivery.
